This Privacy Policy describes how ChatrBee ("we", "us", "our") collects, uses, stores, and protects information when you use our website chatrbee.com and our software-as-a-service platform (collectively, the "Service").
By using ChatrBee, you agree to the practices described below.
1. Information We Collect
1.1 Information you provide
- Account information — name, email address, phone number, business name, and password when you create an account.
- Profile & business details — logo, website, address, social media handles, and content you configure for your Business Profile.
- Customer contact lists — names, emails, and phone numbers you upload to send feedback invitations.
- Payment information — handled by our payment processor; we never store full card details on our servers.
- Support communications — messages you send us by email, chat, or web form.
1.2 Information collected automatically
- Usage data — pages visited, actions taken, timestamps, referrers, and interactions within the dashboard.
- Device & log data — IP address, browser type, operating system, and cookie identifiers.
- Cookies — used for authentication, security, and remembering preferences. You can disable non-essential cookies at any time.
1.3 Information from Google services
When you connect your Google account to ChatrBee, we access certain data via the Google Business Profile API, limited to what is necessary to provide review management features:
- Your Google account email and basic profile info (via the
userinfo.emailscope). - The list of Business Profile accounts and locations you manage (via the
business.managescope). - Reviews posted to the Business Profile location you have connected, including review content, star ratings, reviewer names, and timestamps.
- Replies you (or ChatrBee acting on your behalf) post to those reviews.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the ChatrBee Service.
- Display your Google reviews inside your ChatrBee dashboard.
- Generate and post AI-assisted replies to reviews with your approval.
- Send you feedback invitations to customers on your behalf (only using contacts you provide).
- Communicate with you about your account, support requests, and product updates.
- Monitor usage and improve product reliability, performance, and features.
- Detect and prevent fraud, abuse, and security incidents.
- Comply with legal obligations.
3. Google API Services User Data Policy & Limited Use
ChatrBee's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, we confirm that:
- We only use Google user data to provide or improve user-facing features that are prominent in the ChatrBee interface (i.e. review management).
- We do not transfer Google user data to third parties except as necessary to provide the Service (such as secure cloud hosting providers), to comply with applicable law, or as part of a merger or acquisition with comparable privacy protections.
- We do not use Google user data for serving advertising, including retargeting, personalized, or interest-based advertising.
- We do not allow humans to read Google user data unless (a) we have your affirmative agreement for specific messages, (b) it is necessary for security purposes (e.g. investigating abuse), (c) it is necessary to comply with applicable law, or (d) the data has been aggregated and anonymized.
4. How We Share Information
We do not sell your personal information. We share information only in these limited cases:
- Service providers — cloud hosting (e.g. AWS, DigitalOcean), email delivery, SMS delivery, payment processing, and analytics services, bound by confidentiality and data-processing agreements.
- AI providers — when you use our AI reply features, the review text is sent to trusted AI providers (such as OpenAI or Anthropic) solely to generate a reply. These providers do not use the data to train their models on our data.
- Legal requirements — if required by law, subpoena, or to protect the rights, property, or safety of ChatrBee, our users, or others.
- Business transfers — in the event of a merger, acquisition, or sale of assets, with notice to you.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. You can request deletion of your data at any time (see Section 7). We may retain certain information if necessary to comply with legal obligations, resolve disputes, or enforce our agreements.
6. Data Security
- All data is transmitted over HTTPS (TLS 1.2 or higher).
- OAuth tokens and sensitive credentials are encrypted at rest using AES-256.
- Access to production systems is restricted to authorized personnel and protected by multi-factor authentication.
- We perform regular security audits and follow industry best practices.
No system is 100% secure; we cannot guarantee absolute security but commit to prompt notification in the event of a material breach.
7. Your Rights & Choices
Depending on your location, you may have the following rights:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate data.
- Deletion — ask us to delete your data. You can also disconnect Google by going to Settings → Integrations → Google Business Profile, or by revoking ChatrBee at myaccount.google.com/permissions.
- Portability — request an export in a machine-readable format.
- Opt out — unsubscribe from marketing emails using the link in any message.

8. Children's Privacy
ChatrBee is not intended for users under 16. We do not knowingly collect personal information from children. If you believe we have collected such information, contact us and we will delete it.
9. International Users
ChatrBee is operated from and stores data in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. By using ChatrBee you consent to such transfer, subject to the protections in this policy.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be announced via email or an in-app notice. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
